Managing participants

Participants are the people who tip in your hub’s competitions. You control who joins, how they’re organised, and what data you hold about them.

  1. Go to Admin → Participants → Invite
  2. Enter email addresses (one per line, or comma-separated)
  3. Optionally assign to a group at invite time
  4. Click Send invitations

Participants receive a branded email from your hub with a personalised join link. The link is valid for 7 days.

  1. Go to Admin → Participants → Invite → Import CSV
  2. Upload a CSV with columns: email, first_name, last_name, group (optional)
  3. Review the preview and click Send invitations

A join link lets anyone with the link join your hub without a personal invitation:

  1. Go to Admin → Participants → Join link
  2. Copy the link and share it (Slack, email, intranet, etc.)
  3. Optionally set a maximum number of joins or an expiry date

The join link is useful for large-scale rollouts where you can’t enumerate email addresses in advance.

Go to Admin → Participants to see all participants. Filter by:

  • Status (active, invited, inactive)
  • Group membership
  • Competition participation
  • Last active date

Search by name or email.

Click any participant to see their full profile:

  • Contact details
  • Group memberships
  • Competition history (points per round, leaderboard positions)
  • Last active date
  • Invite status

If a participant hasn’t accepted their invitation:

  1. Go to Admin → Participants
  2. Filter by Status: Invited
  3. Select one or more participants
  4. Click Resend invitation
  1. Find the participant in Admin → Participants
  2. Click their name
  3. Click Remove participant
  4. Confirm

Removed participants immediately lose access to the hub. Their historical tipping data (scores, tips) is retained in the round records but attributed to “Removed participant” on the leaderboard.

Export the full participant list with their data:

  1. Go to Admin → Participants → Export
  2. Choose fields to include
  3. Select format (CSV or JSON)
  4. Download
